<p>Getting a salesman to plan his time is regarded by many sales executives as the one of the major problem in sales management. Why is time management and planning so important for sales? The answer lies in today&#8217;s rising costs, in the midst of hot competition and the obvious decline in the face-to-face selling time.<br />
Setting a time budget  :</p>
<p>Setting a time budget is a task that requires joint effort by the management and the salesmen. The sales manager and his field managers are accountable for a salesman&#8217;s productivity, so they have the responsibility of ensuring that the salesmen manage their time well. At the same time, it is also the duty of the salesman must also plan his time wisely.<br />
Since it is not possible for a salesman to be under constant supervision, he has to be independent and flexible. A sales person&#8217;s day is rarely ever routine, for instance, one customer may keep him waiting in the reception room longer than expected or may cancel the appointment after the salesman has arrived at his office, or spend a half hour airing complaints.<br />
All time management does is, create a proper environment for the sales man to utilize his time well. It is designed to get him face-to-face with as many prospects and customers as possible. This does not mean he will work harder; but only that he will work smarter.<br />
The ability to plan well is a big asset to any sales person and it is essential for a successful salesman to also be a good manager, in order to manage himself, his home, his job and a segment of a sales territory.<br />
Controlling a time budget  :<br />
The first step in controlling a time budget is the periodic analysis of the call-reports and time charts. The salesman should get a copy of this analysis to help him improve time management skills. Call reports are to be routinely scanned and filed, too many call-reports, however don&#8217;t serve any real purpose.<br />
The first thing a sales manager should teach his sales men about effective time management is the appropriate hours to make sales calls and whether a prospective customer should be dealt with over the phone or face to face. This basic knowledge could save a sales man a lot of time and resources.<br />
Some companies use their marketing service staff to assist the regional and branch managers in directing salesmen to manage their time more efficiently. Some others grant clerical help in field offices to reduce the amount of paper work. Many firms provide audio-visual equipment to create more persuasive sales presentations to make the most of the precious three or four hours of face to face interviews with potential customers each day.<br />
The amount of time a salesman delegates for travel and work depends on various factors such as the management&#8217;s knowledge of the sales territory, the present and prospective accounts, traffic conditions, etc. All of the salesman&#8217;s plans must be flexible because the workload and territorial boundaries may very from time to time. Managers cannot afford to work entirely at their desks, using control maps, it is important that they get into the territory, not only to make logical alterations but also to bolster the salesman&#8217;s morale and to make sure he values the plans that he is expected to follow.<br />
The way in which a salesperson should plan his time is not too different from how people from other professions should manage theirs. It is only a matter of priority, since certain tasks are best accomplished within a particular time period than others.  It is therefore essential that salesmen be sold on the need to plan well.</p>

<p>Introduction</p>
<p>Time management is a decades old concept that has been taught in many different flavors by many different experts.  It is also a topic taught by hundreds of organizations to their employees.   Yet this continues to be one of the most challenged areas in people’s lives.  How can something so well taught and so common be so misapplied?</p>
<p>Many business professionals have significant challenges managing their time in an extremely busy and distraction filled world.    Not only do they manage a work calendar, they often have family calendars as well.  Family obligations may often occur during business hours or business obligations may occur during evening, non-traditional work hours.</p>
<p>Finding a system that works for you is essential to managing your schedule and ensuring all priorities, both professional and personal, are addressed.<br />
Case Study – me</p>
<p>I decided recently to take my own life as a case study into how challenging it can be to implement a time management system.  I am hoping my challenges and lessons learned can be applied by others in shortening the learning curve to successful time management.</p>
<p>I am a married man with 3 children.  I am also an IT professional who travels often for my job.  In fact, every billable hour I have works for 2 years has been worked in the road.</p>
<p>I have taken almost every time management course throughout my 20 + year professional career.  From Covey to off shoots to company tailored training, I have taken almost a dozen variations on Time Management techniques.  I began using the Covey system – complete with the heavy, leather binder and the daily 2 page systems about 15 years ago.  I practiced the prioritized task lists, copying each list forward daily, and even mapping the tasks to my value statements.  I always wound up ‘falling off the wagon’ though.  The effort required to follow the disciplined Franklin Covey system was just too much for me to follow on a daily basis.</p>
<p>I am also a technical IT consultant – residing in a technical, mobile world.  The techniques of 15 years ago don’t work well today.  The purpose of this article is to covey some of the challenges and some of the lessons learned I have discovered through my journey.<br />
Initial State</p>
<p>Thus, I found time management a significant challenge.  In general, the challenges I felt were:</p>
<p>·         I lack an effective Time Management technical solution</p>
<p>I have tried to apply a non-technology solution to a technology based life – it is doesn’t work too well.</p>
<p>Mobile office – All billable work my company requires extensive travel.<br />
Significant and varying time demands with family<br />
Move to smaller, more ‘cluttered’ home in California</p>
<p>I no longer have the desk area and file area to help support an organized time management solution.<br />
Problems with Initial State</p>
<p>Thus, there are several common themes that are challenges for me.  These challenges include:</p>
<p>Maintaining a valid and disciplined task list has been a challenge<br />
Having a space where I can maintain an office has been a challenge<br />
Carrying a Franklin Covey Planner has been prohibitive – due to travel.<br />
Lack of a predictable routine. (schedule changes with travel to different time zones)<br />
Simple, yet Effective Changes</p>
<p>There are several changes I have made in my life to make the application of a time management solution easier and more effective.  These changes include:</p>
<p>Get into a routine.</p>
<p>Stick to a routine that includes 30 minutes at the start of the day to plan the day.</p>
<p>Review calendar the night before</p>
<p>Being in a different time zone, meetings are often scheduled before 8 AM or over the typical lunch time.</p>

Multi-tasking is bad!</p>
<p>Comparison between my mom and my wife.</p>
<p>I was raised to be a multi-tasker.  I was taught the human mind can handle many simultaneous tasks and can accomplish them with equal quality.  Experience has taught me the folly of this theory.  I am now much more of a linear thinker and doer.  If I manage m task list one task at a time, I feel I am much more productive and much less stressed.</p>
<p><strong>Tools I have used in my life</strong></p>
<p>The changes described above carry with them some implicit tools that have also helped in my journey.  The tools I have found most useful include:</p>
<p>Implement a time management plan.<br />
Establish routines and stick to them as much as possible.<br />
Use time management tools.<br />
Be sure your systems are organized.</p>
<p>I used to be a “messy desk is a sign of a hard worker” person.  I now subscribe to the organized desk is a productive desk person.</p>
<p>Find out where you&#8217;re wasting time.</p>
<p>This activity was a challenge.  I did find that I was wasting time when I would try to multi-task – as I was having to ‘shift gears’ more often.</p>
<p>I do my best thinking during linear events.  When I am able to focus on one activity and devote my entire energy towards that activity.</p>
<p>Get in the habit of setting time limits for tasks.</p>
<p>This was also a challenge to implement.  It requires you to give more thought to each task on your to do list – as you need to understand the anticipated effort to complete a task.<br />
Changes I still need to implement</p>
<p>While I have applied many changes in my life, there are some changes that I still need to make.  These changes include:</p>
<p>·         When I am billable, blocking out my calendar to reflect my lack of availability.</p>
<p>Better organizing my systems</p>
<p>I need to better implement a time management/task management system and properly apply the discipline of interacting with the system to help my time management.</p>
<p>·         Getting things done by putting them off till tomorrow</p>
<p>This is an effective email management system that involves organizing your emails into a couple of different batches.  Respond to today and respond to tomorrow.</p>
<p>I have found that making too many changes to quickly only makes the likelihood for success lower.  Small changes, properly and effectively applied help much more that drastic changes.<br />
Benefits</p>
<p>There are many obvious benefits to using a disciplined, effective time management system.  Some of these benefits include:</p>
<p>·         Peace of mind</p>
<p>·         Less stress</p>
<p>·         Better productivity</p>
<p>·         Appearance of competence – the more organized you are, the better (more affective) you look.</p>
<p><strong>Conclusion</strong></p>
<p>Time management is a must.  Finding the right combination of tools and methods is key to keeping time management a reality in your professional and personal life.</p>

<p>In preparation for the MLab <a href="http://www.managementlab.org/node/104">Management 2.0</a> conference, Gary Hamel paraphrased a brainstorming interview we did in advance about how large organizations could become more innovative, adaptive and engaging (edit: to clarify, these were my inputs):</p>
<p><strong>Flaws</strong></p>
<p>Large group sizes working on any project and/or involved in most important decisions, and all sustaining the same business model (vs. competing to develop alternative concepts).</p>
<p>Work organization patterns that systematically eliminate options more than a standard deviation away from the mean.</p>
<p>Promotion and reward mechanisms that favor convergence to the mean and “playing well with others” over bold moves.</p>
<p><strong>Fixes</strong></p>
<p>Many (competing) small teams of 3-5, then reorient decision making to support selection of “winning” project ideas.</p>
<p>Four tenets jump to mind if we consider the <em>Wisdom of Crowds</em> as an emergent phenomenon, operating at a higher level of abstraction:</p>
<p>1) team (thinking style) diversity  is more important than individual ability</p>
<p>2) disagreement is more important than consensus</p>
<p>3) and the voting policies and selection mechanisms that you put in place are more important than the coherence or even the comprehensibility about what you do.</p>
<p>4) The role of upper management is to tune the parameters of communication</p>
<p>Hire and build organizations to sustain group (hive) learning over individual learning, by consciously assembling teams of MIN 3 and MAX 7 with very diverse approaches.  Number of teams you assign depends on the range of probability that you’ll get a very different, compelling answer out of one of them.</p>
<p>Structure the organization for more failure and greater selection of non-normative choices through difference-seeking voting policies and more observation of &#8211; and experimentation with &#8211; “perturbations” (vs. predictive extrapolation).</p>
<p><strong>Other</strong></p>
<p>DFJ uses voting methods that allow a vocal minority to overrule a wishy-washy majority, if the goal is to advance a very different concept. (“Passion-weighted vote”; “Silver bullets”).</p>
<p>You might improve a corporation’s ability to allocate resources across a more diverse portfolio of ideas if you can put those decisions in the hands of executives not vested in day-to-day execution of the initiatives (as the venture model &#8211; or Richard Branson &#8211; does).</p>
<p>Firms need to cross the threshold of accepting that they’ll be wrong more than 50% of the time when pursuing disruptive innovation, and therefore need to swing for the fences more often to make up for more losers.</p>

<p>Business Analyst Teams need to capture requirements as they are clarified. This is especially important when:<br />
1. The deliverable is the requirement document first and foremost<br />
2. The outline for documenting incoming requirements already exists<br />
3. Tight deadlines exists and there is any risk of delays in documentation, or in overlapping out-of-date information being presented to the client–<br />

<p>It is not an agile process to wait to add known requirements. 1. It is a waste of time and money, searching when editing the same document repeatedly, or by different individuals, when the requirement should be added on the fly<br />
2. It is frustrating for the BA, it is frustrating for the client when they read out of date requirements<br />
3. It creates unnecessary control issues<br />
4. It runs counter to the clients’ actual needs and requests<br />
5. It isn’t agile any more, it is an outdated technique</p>
<p>Presentation of business requirements is 50% of the job of development consulting, that is, what a document actually looks like really matters to governance and business people<br />
1. Because they spend all their time in documents, generally they want them to look familiar and be formatted correctly, so it makes sense to use their templates<br />
2. They care about documentation, and that is your value to them<br />
3. Your clients will never have your depth of knowledge regarding technology, which means you will have to explain your processes and reasons if you do it any other way (slowing the process down) besides using their processes and procedures<br />
4. The business and governance or project management office people will participate in decision making about actually building the project, or not, and you want them to want to work with you, by showing that you will work with them!</p>

<h2><strong>The Five Secrets to Effective Time Management Motivation<br />
</strong></h2>
<p>I don&#8217;t know about you, but 24 hours in a day isn&#8217;t enough. And 8 &#8211; 9 hours for work just barely covers the paperwork, order follow-up, client calls, e-mails that need answering, voicemail messages, etc. &#8220;You mean you want me to prospect and find closing time, too? What, are you kidding?!&#8221;</p>
<p>Sound familiar? It should. Sales reps and their managers constantly tell me they are on the run the moment they get in the office. Just opening their email can take them pm a 2 to 3 hour journey away from what they should, want, or need to be doing to drive sales (like the prospecting calls or reload or order calls). What to do?</p>
<p>I just finished giving a seminar on time management to a company here in Southern California, and boy did I need the reminder. I&#8217;m much better &#8211; and so are they &#8211; now that I&#8217;m following these Five Keys to Time Management. Use them and you&#8217;ll feel better too!</p>
<p>Key #1 &#8211; Begin each day with a written list of three to five priorities. Ask yourself: &#8220;What are the five things that are crucial for me to accomplish today?&#8221; (Hint: ask yourself what five things you can do today that will most affect your bottom line, ie, dollars in your pocket?) Write them down &#8212; in order of importance and then&#8230;.</p>
<p>Key #2 &#8211; Start each day with your top three to five priorities and work each one through until it&#8217;s done. Then cross it off and work on the next one. Resist the temptation to multitask. Working each one through to completeness is the key. Make sure and cross each one off when you&#8217;re done!</p>
<p>This builds momentum, a sense of accomplishment and empowerment, and most importantly you&#8217;ll actually be getting your important priorities done each day.</p>
<p>Key #3 &#8211; Start with your most important (or most difficult) task first. Accomplishing one or two important tasks always leads to more success &#8212; and always frees up the most energy.</p>
<p>Once those &#8220;mountains&#8221; are out of the way, you can easily and more enjoyably take on your other priorities. Most people do the opposite: they put off the hard (and most important stuff) and get caught up in the time robbers. This is a sure recipe for feeling overwhelmed. Do the opposite &#8212; start with the hard, and watch your day get easier!</p>
<p>Key # 4 &#8211; Group your other activities. Paperwork, checking e-mail, checking voicemail, etc., are incredible time drains. The worst thing to do is to keep checking them every few minutes.</p>
<p>Make a schedule &#8211; perhaps after you cross off a priority, you allow 15 minutes to check these things and then go right back to your next priority. Paperwork and other non-essential activities especially are best grouped at the end of the day.</p>
<p>Although these things seem important (and some are) don&#8217;t keep getting tangled up in them. You must stick to your top three or five priorities (like 2-3 hours a day spent cold calling &#8212; a top five priority that pays for itself many times over). Grouping your activities allows you to get all of the other &#8216;stuff&#8217; done but not at the expense of your priorities.</p>
<p>Key #5 &#8211; Prepare your next day the night before. Before you leave the office, make sure you have your written list of priorities and grouped activities timed and written down. This helps you get off to a running start, and allows you to mentally prepare for your day the night before.</p>
<p>It also allows you to get more rest because you&#8217;re not worrying about or planning your day as you&#8217;re trying to fall asleep at night.</p>
<p>These are the Five Keys to Time Management. Any one of these Keys will make you more productive, reduce your stress, and help you squeeze more out of your day. Use them and you&#8217;ll get more done &#8211; and you&#8217;ll feel better!</p>

<p>As industries change and businesses constantly evolve, the need for time management skills is very important. Learning how to manage time is an essential skill everyone should learn. This is especially true for managers and executives. Executive time management is a series of concepts, tools, and techniques that help a manager make better use of his or her time. It builds on traditional concepts that apply to regular employees. But why is there a need for executives to learn?</p>
<p>Managers and executives are given more and more responsibilities to perform, but are not given enough to do them. Take for example all the meetings that you have to attend. Did you know that as an executive you spend 40% of your day sitting in one? If that is the case, you are left with only 60% of your work day to perform all other duties and responsibilities required of you. Learning executive time management techniques will help you with this problem.</p>
<p>The best technique for any executive to utilize is the Time Management Matrix or the Time Management Quadrant. Basically, it is a prioritizing technique that divides tasks and responsibilities into 4 groups simply named A, B, C and D. According to this technique, you can categorize priorities by the level of importance and level of urgency. Quadrant A will contain tasks that are important and urgent. Tasks that are important but are not urgent belongs to Quadrant B. Quadrant C contains tasks that urgent but are not that important. And tasks that are not really important and are also not urgent belong to Quadrant D.</p>
<p>Here are other things you might want to learn about this effective Matrix. An executive concentrates most of his time on tasks that belong to Quadrant A and Quadrant B because of the importance level. Some examples of Quadrant A and Quadrant B tasks include deadlines, meetings and crises. The beauty of this method is that as an executive, you can delegate Quadrant C and D tasks. Delegation is also another component of executive time management. Delegating tasks can free up a lot of your time. However, when you do delegate tasks make sure that you are not just dumping work on somebody else. Whoever you assign the work to should know why you are asking them to do it for you.</p>
<p>The last tip executives must learn in time management is the ability to apply and share these techniques to his or her employees. Remember that even if you are an effective time manager, your skill will go to waste if the organization does not follow your lead. If a company works and manages time as one, it will result to a better working environment and better productivity overall.</p>

<h2><strong>Adults with ADD: 3 Easy Steps for Time Management Motivation through Daily Planning</strong></h2>
<p>How many times have you started your day knowing what you would ideally like to get accomplished, but feeling unsure of where to begin or how to prioritize it all?</p>
<p>On days like this, you can find yourself succumbing to overwhelm before you ever leave the house. There is so much to do, and so little time and energy!</p>
<p>Time and task overwhelm can easily lead to stress and guilt, which can spiral into more bad feelings, and less action.</p>
<p>Many adults with Attention Deficit Disorder (ADD) are resistant to the idea of daily planning. But daily planning is one of the best steps you can take to minimize overwhelm and take control of your time. It&#8217;s one of the first and most important strategies we cover in our Time Management Masters Seminar for adults with ADD.</p>
<p>And better yet, implementing a daily planning routine doesn&#8217;t have to be difficult! Here are 3 easy steps for time management through the use of daily planning:</p>
<p>1. Plan the Time to Plan</p>
<p>Decide on a time of day when you can consistently take 15 minutes to plan. The time of day isn&#8217;t important. It can be a set time (8:00 AM) or simply &#8220;right before bed.&#8221; Choose a time of day in which you typically feel alert, productive, and happy.</p>
<p>2. Review Your To-Do List</p>
<p>If you don&#8217;t already use a to-do list, create one! To-do lists are a tool that help you keep track of what you need to do, and what you have accomplished. Review and re-write your to-do list during each planning session. Acknowledge the accomplishments you made during the day, and add any tasks or projects that came up. Move the most important and urgent tasks to the top of the list. Break large projects into 3-5 steps that all go on the list.</p>
<p>3. Review Your Calendar</p>
<p>Take a look at your daily planner (or calendar, PDA, or whatever you use to help manage your time.) See what appointments you have scheduled the next day. Block off the times in your planner. Then, begin to schedule in time for the tasks on your to-do list.</p>
<p>I&#8217;ll be honest with you: developing a habit of daily planning takes practice. It doesn&#8217;t happen overnight. But with a solid commitment to the process, it will happen before you know it! You&#8217;ll be effectively managing your time and to-dos, and keeping overwhelm at bay.</p>
