<p>Not everybody is good at managing their time, especially when there are many projects to be accomplished.  Many of us have a lot of problems in managing our time effectively.</p>
<p>Sometimes we know what we have to do, but we just don&#8217;t know how to get ourselves doing what needs to be done.</p>
<p>Since we all have the same number of hours in a day, the real issue isn&#8217;t a question of time management, but it is a question of self management.</p>
<p>Time management advice doesn&#8217;t work for everybody, because not every person gets motivated the same way.  Some people are energized by working under the pressure of deadlines.  These are the people who will dawdle on an assignment for weeks, and then start putting in heavy hours just a few days before the final deadline.</p>
<p>If you are facing a pile of assignments, how do you choose which ones should get the most of your time, and which ones should get very little attention?</p>
<p>Should you do the most difficult assignments first, or should you tackle the easiest instead?</p>
<p>There are several schools of thought on this issue.  Some people think you should tackle the most difficult assignment first, and get that out of the way.  Others think you should start with the smaller, easier projects first so that you can develop some confidence and a track record of success.</p>
<p>So, which is the better way to do it?  Should you tackle the easy projects first, or start right away on the hard ones?</p>
<p>You need to know how your mind works.  If you are the kind of person who can easily jump in to a tough assignment, then that is probably what will work best for you.</p>
<p>If you have a tendency to feel intimidated by big projects, then divide the project up into smaller chunks with deadlines for accomplishing each piece.  If you need added motivation, give yourself rewards for finishing each part of the project.</p>
<p>If the main reason you procrastinate is because you lack confidence, then it&#8217;s most important that you just get started.  You don&#8217;t need to start with the toughest assignments if those are the ones that intimidate you most.  Start with the easier projects if you are a person who needs to build confidence in yourself.</p>
<p>One tip I picked up while taking a time management course many years ago was that if you have a problem with procrastination, you should save the projects you really enjoy doing for the end, and you should start with projects you don&#8217;t enjoy doing very much.</p>
<p>The reason this is important is that it becomes very easy to dawdle and get fascinated with the things you like doing, until you suddenly run out of time to do the things that you have been putting off.</p>
<p>For me, this has probably been the most important time management tip I have ever heard.</p>
<p>If you&#8217;re a person who finds it tough to stay motivated, I can sympathize.  I have that problem too.  Here is one way that works for a lot of people to help them stay on track.  I use this system myself.</p>
<p>First, break down your project into a series of smaller chunks and give each portion of the project a deadline for completion.  Work out a series of rewards to give yourself as an incentive to keep working, and as a reward for a job well done.</p>
<p>These rewards should be special treats that are particularly meaningful to you, and they should be implemented very soon after the completion of each section of your project.  For example, take yourself to a movie you really want to see within a day or two of achieving one of your goals.</p>
<p>Then, be sure to have a really good reward for the completion of the entire project.</p>
<p>I don&#8217;t recommend the use of food for a reward, because you can start overdoing it with unnecessary treats.</p>
<p>Keep experimenting to see which time management techniques work best for you.</p>

<p>So little time so much to do, a line that sounds all too familiar for almost everyone whether you’re an employee or a housewife.  It gives you the feeling to add more hours in the day just so you can accomplish everything.  Can time really be managed when you can’t control its movement?  Time management training is more of being able to manage the time that you actually have; the ability to make the most out of your time or your day.  It is not just about having a day-to-day plan, time management training lets you learn the ability to prioritize things and be able to maximize time to improve productivity whether at work or at home.</p>

<p>With hard work, anything can be done. However, you have to keep in mind that you need to accompany hard work with proper time management for you to become really effective in what you do. Working hard blindly would just lead to waste of energy and ineffective task division. You need to learn to manage your time to ensure that you do things right and submit work on time.</p>
<p>Prioritize</p>
<p>Successful time management involves learning to prioritize. To rank your tasks according to importance is to allow yourself to work on the things that you need to finish on time. If you have a huge task to do, you should learn to divide it into subsections. Instead of thinking of one huge step to take, try accomplishing one small step at a time. This notion will make the task seems a little easier and definitely doable. Once you know your priorities and taken the first step to accomplish them, you will be on a roll and will finish your tasks on a shorter period of time.</p>
<p>Orderliness</p>
<p>Learning to prioritize is not that hard but practicing orderliness is a mean task. It is not easy for most people to be actually organized. Most people have this thinking of &#8220;Hey, I may be messy at work but at least, I do the job&#8221;. But what do they don&#8217;t realize is that yes, they are able to finish their tasks but they are not working their full potential, therefore being inefficient at some point.</p>
<p>To be orderly and perform successful time management, one needs to actually plan. You can plan effectively by having a daily planner. There are a lot of tools that you can use for daily planning. There&#8217;s the usual pen and paper. But if you think you will be more efficient with your smart phone then feel free to use it. However, traditional as it may sound, pen and paper combination is still the most reliable especially when your phone ran out of battery. Pen and paper can put in your packet so it&#8217;ll be handy all the time.</p>
<p>To achieve orderliness in your schedule you must be systematic. Having a planner will do this job for you because you will develop the habit of jotting down important things such as deadlines and office meetings. This will lessen your tendency to forget so you would not miss a task.</p>
<p>Other than a daily planner, you could also use sticky notes. These are cheap and handy. The purpose of sticky notes is to be a constant reminder of your things to do. Sticky notes can be put on spots you happen to lay your eyes on the most so you are always being reminded of work. Once you are done with the task, all you have to do is take off the note and throw it away.</p>
<p>Rewards</p>
<p>That act of throwing your sticky notes is especially beneficial because it gives the person a sense of fulfillment. Retrieving sticky notes from wherever you posted them represents finishing your tasks. Another secret to successful time management is giving occasional rewards to yourself. Treat yourself after a day of hard work. As trivial as Facebook&#8217;s application games will do.</p>

<p>When you start your own home business, one of the skills you have to hone is that of time management. Without proper time management, you will be running around like a chicken with its head cut off trying to get everything done. If you want your home business to run as efficiently as possible and be as profitable as it can be, time management is an absolute must.</p>
<p><strong>It Is Not Exactly Easy As Pie</strong></p>
<p>Many home business owners make the mistake of thinking time management is something that is easy to accomplish right off the bat. Unless you are the Superman or Superwoman of multitasking and are an expert at allocating tasks to every minute of every day, home business time management is going to take some getting used to.</p>
<p>The hardest time you will have with time management is during the startup phase of your home business. However, it is during this phase that you need to sharpen your time management skills and get your time management policies pounded out.</p>
<p><strong>Employed Time Management vs. Self-Employed Time Management</strong></p>
<p>When you work for someone else, your daily tasks are usually set for you and your schedule is usually managed by your boss. When you work for yourself, you have to prioritize your own schedule and you have to be self driven. If you fail on either of these responsibilities, your home business fails with you.</p>
<p>Another difference between time management with an employer and time management with a home business is the number of hats you wear. When you work for an employer, you have a set number of responsibilities.</p>

Because of this, knowing how much time to schedule for each &#8220;job&#8221; is critical. When you work for someone else, it is not uncommon to spend a day here or there slacking on your duties, playing solitaire on the computer and surfing the Web at your leisure. You get paid either way. When you have a home business, every moment that is not dedicated to the operation and success of that business is money lost and opportunity lost.</p>
<p><strong>How To Do It</strong></p>
<p>When you first start your time management program, sit down and make a list of every single thing that needs to be done. Then number that list in order of priority. Get a day planner and slot a certain number of hours to each task on your &#8220;to do&#8221; list, ensuring each task gets done within the required timeframe. As hard as it may be at first, do not deviate from this schedule unless it is an absolute emergency. This step is critical to the successful time management of your home business.</p>
<p><strong>Avoid Time Management Pitfalls</strong></p>
<p>There are a number of time management pitfalls that almost every new home business owner falls in to. Make sure you avoid the most common time management mistakes such as:</p>

<p>Introduction</p>
<p>Time management is a decades old concept that has been taught in many different flavors by many different experts.  It is also a topic taught by hundreds of organizations to their employees.   Yet this continues to be one of the most challenged areas in people’s lives.  How can something so well taught and so common be so misapplied?</p>
<p>Many business professionals have significant challenges managing their time in an extremely busy and distraction filled world.    Not only do they manage a work calendar, they often have family calendars as well.  Family obligations may often occur during business hours or business obligations may occur during evening, non-traditional work hours.</p>
<p>Finding a system that works for you is essential to managing your schedule and ensuring all priorities, both professional and personal, are addressed.<br />
Case Study – me</p>
<p>I decided recently to take my own life as a case study into how challenging it can be to implement a time management system.  I am hoping my challenges and lessons learned can be applied by others in shortening the learning curve to successful time management.</p>
<p>I am a married man with 3 children.  I am also an IT professional who travels often for my job.  In fact, every billable hour I have works for 2 years has been worked in the road.</p>
<p>I have taken almost every time management course throughout my 20 + year professional career.  From Covey to off shoots to company tailored training, I have taken almost a dozen variations on Time Management techniques.  I began using the Covey system – complete with the heavy, leather binder and the daily 2 page systems about 15 years ago.  I practiced the prioritized task lists, copying each list forward daily, and even mapping the tasks to my value statements.  I always wound up ‘falling off the wagon’ though.  The effort required to follow the disciplined Franklin Covey system was just too much for me to follow on a daily basis.</p>
<p>I am also a technical IT consultant – residing in a technical, mobile world.  The techniques of 15 years ago don’t work well today.  The purpose of this article is to covey some of the challenges and some of the lessons learned I have discovered through my journey.<br />
Initial State</p>
<p>Thus, I found time management a significant challenge.  In general, the challenges I felt were:</p>
<p>·         I lack an effective Time Management technical solution</p>
<p>I have tried to apply a non-technology solution to a technology based life – it is doesn’t work too well.</p>
<p>Mobile office – All billable work my company requires extensive travel.<br />
Significant and varying time demands with family<br />
Move to smaller, more ‘cluttered’ home in California</p>
<p>I no longer have the desk area and file area to help support an organized time management solution.<br />
Problems with Initial State</p>
<p>Thus, there are several common themes that are challenges for me.  These challenges include:</p>
<p>Maintaining a valid and disciplined task list has been a challenge<br />
Having a space where I can maintain an office has been a challenge<br />
Carrying a Franklin Covey Planner has been prohibitive – due to travel.<br />
Lack of a predictable routine. (schedule changes with travel to different time zones)<br />
Simple, yet Effective Changes</p>
<p>There are several changes I have made in my life to make the application of a time management solution easier and more effective.  These changes include:</p>
<p>Get into a routine.</p>
<p>Stick to a routine that includes 30 minutes at the start of the day to plan the day.</p>
<p>Review calendar the night before</p>
<p>Being in a different time zone, meetings are often scheduled before 8 AM or over the typical lunch time.</p>

Multi-tasking is bad!</p>

<p>I was raised to be a multi-tasker.  I was taught the human mind can handle many simultaneous tasks and can accomplish them with equal quality.  Experience has taught me the folly of this theory.  I am now much more of a linear thinker and doer.  If I manage m task list one task at a time, I feel I am much more productive and much less stressed.</p>
<p><strong>Tools I have used in my life</strong></p>
<p>The changes described above carry with them some implicit tools that have also helped in my journey.  The tools I have found most useful include:</p>
<p>Implement a time management plan.<br />
Establish routines and stick to them as much as possible.<br />
Use time management tools.<br />
Be sure your systems are organized.</p>
<p>I used to be a “messy desk is a sign of a hard worker” person.  I now subscribe to the organized desk is a productive desk person.</p>
<p>Find out where you&#8217;re wasting time.</p>
<p>This activity was a challenge.  I did find that I was wasting time when I would try to multi-task – as I was having to ‘shift gears’ more often.</p>
<p>I do my best thinking during linear events.  When I am able to focus on one activity and devote my entire energy towards that activity.</p>
<p>Get in the habit of setting time limits for tasks.</p>
<p>This was also a challenge to implement.  It requires you to give more thought to each task on your to do list – as you need to understand the anticipated effort to complete a task.<br />
Changes I still need to implement</p>
<p>While I have applied many changes in my life, there are some changes that I still need to make.  These changes include:</p>
<p>·         When I am billable, blocking out my calendar to reflect my lack of availability.</p>
<p>Better organizing my systems</p>
<p>I need to better implement a time management/task management system and properly apply the discipline of interacting with the system to help my time management.</p>
<p>·         Getting things done by putting them off till tomorrow</p>
<p>This is an effective email management system that involves organizing your emails into a couple of different batches.  Respond to today and respond to tomorrow.</p>
<p>I have found that making too many changes to quickly only makes the likelihood for success lower.  Small changes, properly and effectively applied help much more that drastic changes.<br />
Benefits</p>
<p>There are many obvious benefits to using a disciplined, effective time management system.  Some of these benefits include:</p>
<p>·         Peace of mind</p>
<p>·         Less stress</p>
<p>·         Better productivity</p>
<p>·         Appearance of competence – the more organized you are, the better (more affective) you look.</p>
<p><strong>Conclusion</strong></p>
<p>Time management is a must.  Finding the right combination of tools and methods is key to keeping time management a reality in your professional and personal life.</p>

<p>In preparation for the MLab <a href="http://www.managementlab.org/node/104">Management 2.0</a> conference, Gary Hamel paraphrased a brainstorming interview we did in advance about how large organizations could become more innovative, adaptive and engaging (edit: to clarify, these were my inputs):</p>
<p><strong>Flaws</strong></p>
<p>Large group sizes working on any project and/or involved in most important decisions, and all sustaining the same business model (vs. competing to develop alternative concepts).</p>
<p>Work organization patterns that systematically eliminate options more than a standard deviation away from the mean.</p>
<p>Promotion and reward mechanisms that favor convergence to the mean and “playing well with others” over bold moves.</p>
<p><strong>Fixes</strong></p>
<p>Many (competing) small teams of 3-5, then reorient decision making to support selection of “winning” project ideas.</p>
<p>Four tenets jump to mind if we consider the <em>Wisdom of Crowds</em> as an emergent phenomenon, operating at a higher level of abstraction:</p>
<p>1) team (thinking style) diversity  is more important than individual ability</p>
<p>2) disagreement is more important than consensus</p>
<p>3) and the voting policies and selection mechanisms that you put in place are more important than the coherence or even the comprehensibility about what you do.</p>
<p>4) The role of upper management is to tune the parameters of communication</p>
<p>Hire and build organizations to sustain group (hive) learning over individual learning, by consciously assembling teams of MIN 3 and MAX 7 with very diverse approaches.  Number of teams you assign depends on the range of probability that you’ll get a very different, compelling answer out of one of them.</p>
<p>Structure the organization for more failure and greater selection of non-normative choices through difference-seeking voting policies and more observation of &#8211; and experimentation with &#8211; “perturbations” (vs. predictive extrapolation).</p>
<p><strong>Other</strong></p>
<p>DFJ uses voting methods that allow a vocal minority to overrule a wishy-washy majority, if the goal is to advance a very different concept. (“Passion-weighted vote”; “Silver bullets”).</p>
<p>You might improve a corporation’s ability to allocate resources across a more diverse portfolio of ideas if you can put those decisions in the hands of executives not vested in day-to-day execution of the initiatives (as the venture model &#8211; or Richard Branson &#8211; does).</p>
<p>Firms need to cross the threshold of accepting that they’ll be wrong more than 50% of the time when pursuing disruptive innovation, and therefore need to swing for the fences more often to make up for more losers.</p>

<p>Business Analyst Teams need to capture requirements as they are clarified. This is especially important when:<br />
1. The deliverable is the requirement document first and foremost<br />
2. The outline for documenting incoming requirements already exists<br />
3. Tight deadlines exists and there is any risk of delays in documentation, or in overlapping out-of-date information being presented to the client–<br />
4. Or if the document control tool, which is commonly used for working together interactively, is flakey and as a result document versions may become dated</p>
<p>It is not an agile process to wait to add known requirements. For example having project management, or development directing a business analyst to wait until later to add or modify incoming requirements prior to a document presentation. It makes sense to put the correct and current requirements into the current document. It is more logical to keep found things found by categorizing them immediately.<br />
1. It is a waste of time and money, searching when editing the same document repeatedly, or by different individuals, when the requirement should be added on the fly<br />
2. It is frustrating for the BA, it is frustrating for the client when they read out of date requirements<br />
3. It creates unnecessary control issues<br />
4. It runs counter to the clients’ actual needs and requests<br />
5. It isn’t agile any more, it is an outdated technique</p>
<p>Presentation of business requirements is 50% of the job of development consulting, that is, what a document actually looks like really matters to governance and business people<br />
1. Because they spend all their time in documents, generally they want them to look familiar and be formatted correctly, so it makes sense to use their templates<br />
2. They care about documentation, and that is your value to them<br />
3. Your clients will never have your depth of knowledge regarding technology, which means you will have to explain your processes and reasons if you do it any other way (slowing the process down) besides using their processes and procedures<br />
4. The business and governance or project management office people will participate in decision making about actually building the project, or not, and you want them to want to work with you, by showing that you will work with them!</p>
